How to create and edit Certificates in TRAK

This article explains, step by step, how to create and edit Certificates in TRAK.

Please note: The creation and editing Certificates are exclusive to Certificate Administrators. If you wish to obtain this permission, kindly communicate with your User Administrator.

Creating a Certificate

In the "Search Learning" section, select the "Create and Edit Certificates" option. This action will take you to the Certificates and Templates page.

Once completed, select "Save certificate".

 

Editing a Certificate

Navigate to the Search Certificates and Templates page and make sure you are viewing the "Certificates" tab.

Screenshot 2023-10-23 at 9.47.16 amIf in the List view, click anywhere on the Certificate to open. If you are in the Grid view, click on "View details" to open the Certificate.

  • Certificate title
  • Certificate short description - this will appear in the tiles on the Search Certificates and Templates page.
  • Certificate template
  • Certificate external ID
  • Number of points associated with the Certificate
  • Learning Plan prerequisites

To save your changes, select "Save Changes". If you do not wish to save the changes, select "Go back".

Certificate prerequisites

You can select both Learning Plans and Sections of a Learning Plan as prerequisites. Choosing a Section will display it as <section_title> - <learning plan code>, while selecting a Learning Plan will display it as <learning plan title> - <learning plan code>.

Hot tip! With the new update, you only need to select a Section once as a prerequisite, regardless of which Learning Plans the Section is attached to. Learn more about reusing existing Sections.

There is no limit to how many Certificate prerequisites can be selected. Certificates have a "one out of many" prerequisite structure, meaning you only need to complete one of the prerequisites to earn the certification. Having multiple prerequisites does not require completion of all of them.

Once Certificates are achieved, they remain valid and are not revoked even if the prerequisites for the certification is updated. An email notification will be received (typically within 15 minutes) once they achieve a Certificate. Learners earn the certificate the first time they complete the prerequisites, not every time they re-complete them.

If the prerequisites are updated, new certificates will be automatically granted to learners who have completed any of the prerequisites in the past. This process is retroactive.

Downloading Certificates

Learners can download a new version of their Certificates whenever they wish from their Profile page. Simply scroll down to the "My Certificates" section and select "Generate". Wait while the Certifiate is loading then select "Download". The PDF will appear in a new window where the Learner can choose to download or print the Certificate.
